HOW TO Send & Open an Encrypted Email


IMPORTANT NOTES:

  • Care must be taken when sending protected and sensitive patient or financial information outside the organization.  If in doubt, please encrypt the message!
  • It is not necessary to encrypt email that is sent within GRHC.  The internal email system is encrypted and meets compliance requirements.
  • The ability to send encrypted email is available to all GRHC staff by default.


We have a PDF guide showing how to open a ZSecure email on the public GRHC website. You can refer your recipients to grhc.org/about/zsecure to access the guide when they recieve your email.


Sending an encrypted email:  

1. When composing a new email, type in the keyword ZSECURE in the subject line.  This can be upper or lower case.

       

2. Compose the email message, attach documents and send as normal.

3. When the recipient opens the secured message, the system will generate a read receipt.

       

 

Receiving an encrypted email:

1. The email recipient will receive and email from the Cisco Registered Envelope Service (RES), with an attachment and instructions on how to open the secured message.

   

 

 2. When the recipient opens the attachment, they will be redirected to a login for the secure message service website.

    Note that the recipient will need to complete a one-time registration before they can access the message.  The registration process will require them to create a password and confirm their email address (it will generate an email     with a link to verify the address).  Once registered, the recipient will be able to simply access the system with their password moving forward.

3. When the recipient accesses the Cisco RES service, the secured message will be displayed.

    Note that there is an option to reply to the secured message from within the system.
