HOW TO Send and Receive Files via Citrix ShareFile

As an alternative to sending sensitive information via email or fax, we also provide a secure file sharing solution called Citrix ShareFile.  ShareFile may be a better solution when trying to send extremely large files or simply a large number of files.

Placing and sharing files 

  1. Open a web browser (Google Chrome is recommended) and go to https://grhc.sharefile.com

  2. Under the Company Employee Sign In section, click the Sign In button. (NOTE:  If you do not have access to ShareFile, please follow this link to place a request.)


  3. Sign in to the Citrix Gateway with your network credentials (the username and password you use to login to your computer). Click the Log On button.


  4. From the left-hand menu, click on Folders to expand.


  5. Click on Shared Folders and then click your department’s folder.  (The shared folders available to you will vary.)


    * Note you also have the option to use a personal folder as well.
  6. To add files to share, move your mouse pointer over the blue plus sign (+) and select Upload.


  7. You can simply click and drag files from your local computer into the box, or select Browse files.


  8. When all the files have been added, click the Upload button.


  9. To share the uploaded files, check the box to the left of the file name, and then click the Share button at the top.


  10. You can now send an email to the recipient with a link to the shared document(s).  You can do this from within ShareFile (Email with Citrix), or have it provide you a link that you can paste into an email that you can send yourself from Outlook (Get a Link).


  11. If you select the Email with Citrix option:
    1. Fill in the recipient email addresses, a subject and optional message.  Click the Edit Message Options link.


    2. For security, we strongly recommend selecting the Require recipients to log in option and the appropriate setting for Download access expires.  Once the options are set, click the Done button.


    3. Click the Send button.

  12. If you select the Get a Link option:
    1. Click the Edit Link Options link.


    2. For security, we strongly recommend setting the Who can access this link option to Anyone (name and email required), and the appropriate setting for Download access expires.  Once the options are set, click the Done button.


    3. Click the Copy Link button.


    4. In Outlook, compose a new email and paste (Ctrl+V) the link into the message.


  13. When finished, be sure to logout of ShareFile by clicking the Log Out button in the upper right.



Receiving shared files:

  1. If the Email with Citrix option was selected, the recipient will receive an email with instructions to download the shared files.  If the Get a Link option was selected and sent from Outlook, the recipient can simply click the link within the email.


  2. When the recipient clicks the Download button, a new browser window will open and prompt them to fill in required information:


       

  3. ShareFile will send a confirmation email to the recipient that the account has been created.


  4. The recipient can view and/or download the shared files.


  5. ShareFile will notify you via email when the files are accessed.
